This Privacy Policy explains how Black Cat Analytics LLC, a New Hampshire limited liability company ("Black Cat," "we," "us," or "our"), collects, uses, discloses, and protects information in connection with the Black Cat Analytics application at app.tryblackcat.com and related services (the "Service"). It applies to information we process as a business about our account holders and the data they provide.
Geographic scope. The Service is intended for users located in the United States only. It is not directed to, or intended for, individuals located in the European Economic Area, the United Kingdom, or Switzerland, and we do not knowingly offer the Service to such individuals. Your information is processed in the United States.
Account and profile information. When you create an account, we collect your name, email address, and password. If you sign in with Google, we receive your name, email address, and profile picture from your Google account.
Financial, property, and booking data. We collect the data you upload, import, or sync into the Service, including rental income, expenses, and bookings (for example, uploaded CSV files or data imported through iCal or property-management-system integrations), and property details such as names, addresses, and time zones.
Bank account information (Plaid). If you choose to connect a financial account, we collect account and transaction information through Plaid, as described in Section 7. This is optional.
Owner records. If you use the Property Management tier, you may provide records about the property owners you serve, which may include names, contact information, financial records, and taxpayer identification numbers (Social Security numbers or Employer Identification Numbers). Taxpayer identification numbers are encrypted at the application layer before storage. Section 12 explains how we handle this Owner Data.
Cleaner records. If you use cleaner-management features, we collect the cleaner records, contact information, and job assignments you create, and, if you enable cleaner payouts, related payout information processed through Stripe.
Payment information. When you subscribe to a paid plan, payment is processed by Stripe. We receive limited billing details, such as subscription status and the last four digits and brand of your card, but we do not receive or store your full payment card number.
Information collected automatically. We automatically collect usage and device data, including IP address, browser type, pages and features used, and similar log data, to operate, secure, and improve the Service. We collect this information using cookies and similar technologies, including our error-monitoring provider (Sentry) and our analytics provider (Google Analytics). See Section 8 for details on cookies.
Some information we process is considered sensitive under California law, including financial account information accessed through Plaid and taxpayer identification numbers contained in Owner records. We collect and use this sensitive personal information only as necessary to provide the Service you request, to secure the Service, and to comply with law. We do not use or disclose sensitive personal information to infer characteristics about you, and we do not sell it or share it for cross-context behavioral advertising.

To power AI features such as the chatbot, forecasting, and insights, relevant portions of your data may be sent to the application programming interface of OpenAI for processing. OpenAI processes this data to return outputs to the Service. Per OpenAI's API data usage policy, OpenAI does not use data submitted through its API to train its models. OpenAI's processing is also subject to its privacy policy. As noted in our Terms, AI-generated outputs are informational only and are not financial, tax, accounting, legal, or investment advice.
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes or for cross-context behavioral advertising. We disclose information to the following categories of service providers and processors, each of which is authorized to use the information only to provide services to us:
We may also disclose information to comply with law or legal process, to enforce our Terms, to protect the rights, property, or safety of Black Cat, our users, or others, and in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
Connecting a financial account is optional. If you choose to connect an account, you do so through Plaid. When you connect an account, you typically enter your banking credentials directly with Plaid, not with Black Cat, and you authorize Plaid to access your account information on your behalf. We then receive from Plaid information such as account and routing details, account balances, and transaction history, which we use to categorize transactions and present them in the Service.
Plaid's collection and use of your information is governed by Plaid's end user privacy policy, available at plaid.com/legal. You may disconnect a connected account at any time from the Bank Sync settings. When you disconnect an account or delete your account, we revoke our Plaid access tokens for your connected accounts, as described in our Data Retention Policy.
We use cookies and similar technologies for two purposes:
We do not use advertising or cross-context behavioral tracking cookies. Some browsers offer a Global Privacy Control or similar setting; where required by applicable law, we treat such signals as a request to opt out of sale or sharing, though as noted we do not sell or share personal information.
Your data is stored on encrypted databases hosted by our infrastructure providers in the United States. We use administrative, technical, and physical safeguards designed to protect your information, including HTTPS and TLS encryption in transit, password hashing using bcrypt, encryption of data at rest, application-layer encryption of taxpayer identification numbers, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain personal information only as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. The specific categories of data, retention periods, and deletion procedures are described in our Data Retention Policy, which is incorporated by reference. In general:
All users. You may access, correct, export, or delete your personal information at any time using the in-app tools, or by contacting us at support@tryblackcat.com. You can export your data as CSV files from the Tax and Reports page.
California residents (CCPA and CPRA). If you are a California resident, you have the right to: know what personal information we collect, use, and disclose; request access to and a copy of your personal information; request correction of inaccurate personal information; request deletion of your personal information; opt out of the sale or sharing of personal information (we do not sell or share personal information); limit the use of sensitive personal information (we use it only for permitted purposes, as described in Section 3); and not be discriminated against for exercising your rights.
To exercise these rights, use the in-app tools or email support@tryblackcat.com. We will verify your request by confirming control of the email address associated with your account and other reasonable means. You may use an authorized agent to submit a request on your behalf, subject to verification. If we deny a request, you may appeal by replying to our decision.
Other state privacy rights. Residents of certain other states may have similar rights to access, correct, delete, or obtain a copy of their personal information, and to opt out of targeted advertising, sale, or certain profiling. We do not sell personal information or engage in targeted advertising. You may exercise any applicable rights by contacting us at support@tryblackcat.com.
If you use the Property Management tier, you may provide us with information about the property owners you serve ("Owner Data"). With respect to Owner Data, we act as a service provider and process Owner Data on your behalf and at your direction, solely to provide the Service to you. You are the party responsible for that information and for providing any required notices to, and obtaining any required consents from, the owners. We will reasonably assist you in responding to requests from owners regarding their information. Our handling of Owner Data is further described in our Terms of Service and Data Retention Policy.
The Service is intended for users who are at least 18 years old. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected personal information from a person under 18, we will take steps to delete it.
If we determine that a breach of security has compromised your personal information, we will notify you and any applicable authorities without undue delay and in accordance with applicable law, including any timing and content requirements of the relevant state breach-notification statutes.
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by email or in-app notification at least thirty (30) days before the changes take effect, unless a shorter period is required to address a legal or security matter. Your continued use of the Service after the changes take effect constitutes acceptance of the revised policy.
